What was built

CREATIO AG's work centres on automating the flow of real estate data — inbound leads, documents, and communications — into their HubSpot pipeline and Google Drive folder structure using Make.com and Gemini AI.

Deal Pipeline & Lead Ingestion

HubSpot was set up as the primary deal pipeline for real estate acquisition opportunities. Make.com scenarios parse inbound property newsletter emails and create qualified HubSpot deals from matching items. A separate workflow handles non-newsletter inbound emails — extracting contact and company data, creating HubSpot contacts, and associating them with the relevant deal. Deal screening logic evaluates building potential (Baumassenziffer/bz_hg) and other planning metrics to assist with qualification.

AI File Auto-Sorter

The largest feature: an AI-powered Make.com scenario that automatically sorts incoming files and emails into the correct Google Drive project folder. It uses a Gemini AI prompt to analyse the document content (subject, sender, body), searches HubSpot for matching open deals from the "Document Collection" stage onwards, and moves the file to the corresponding deal's Google Drive folder. Supports both shared drives and "shared with me" folder types. Includes a 100KB file size filter, error notification emails, and link-back to the Missive email thread via a custom HubSpot URL field.

Google Drive Folder Management

When a deal is created or qualified, a Google Drive folder is automatically created and linked to the HubSpot deal record. Folder structure follows a standard naming convention defined in the data mapping spreadsheet. A standalone file manager HTML page was built for reading PDF planning documents to extract structured building data.

Missive → Notion

A workflow routing Missive email threads to Notion for deal tracking and team follow-up, triggered on specific email labels or deal stages.

Meeting Prep

Automated workflow that pulls recent communication history for a contact and generates a summary on the day of an upcoming meeting — surfaced in HubSpot or delivered by email.
