Embark Law is a Swiss law firm for whom Metawork built a fully automated client mandate and billing system connecting three platforms: Pipedrive (CRM), Clockodo (time tracking), and Bexio (accounting). The system handles the entire lifecycle from new client intake to monthly invoice delivery with minimal manual intervention.

Integration between Pipedrive and Clockodo (time tracking software used by the Embark Law team). When a new client mandate is opened in Pipedrive, the corresponding Clockodo project structure is created automatically. Monthly time reports are generated as PDFs with charts and delivered to the client.

What was built

Automatic project creation: When a deal is won or a mandate is opened in Pipedrive, Make.com creates a matching Clockodo project with the correct subprojects. This eliminates manual setup in Clockodo and ensures every billable mandate is tracked from day one.

Monthly PDF reports: A scheduled Make.com scenario pulls all tracked time entries from Clockodo for the billing period, processes them into a structured report, and generates a PDF with:

  • Daily breakdown of hours
  • Grouping by activity category / service type
  • Charts (bar chart by day, breakdown by category)
  • Billable vs pro bono separation

Reports are generated as Google Spreadsheet outputs (migrated from Microsoft Excel 365) and exported as PDFs, then attached to the Pipedrive invoice deal.

Report delivery: Reports are sent to the client as part of the monthly invoice workflow, alongside the Bexio invoice.

Break/alert system: All Clockodo scenarios are wrapped in the MWS alert system with Pipedrive notes and Telegram notifications on failure.
