EasyBill + Asana integration enables OD Solutions to automate the complete workflow from deal closure to invoice delivery to task execution. When a deal is won in HubSpot, a Make.com scenario automatically creates an invoice in EasyBill with correct line items, amounts, and customer mapping; simultaneously, it creates a ticket in Asana with full project context and attachment links.

What was built

The integration handles two critical document generation workflows: Briefing Document creation (compiled from HubSpot data with proper formatting and PDF output) and recurring document generation (contracts, proposals, service agreements) that can be scheduled independently or triggered by form submissions. These documents are stored in Google Drive and linked to both Asana tickets and HubSpot deals.

Key features include customer sync from HubSpot to EasyBill (handling duplicate detection and invalid field filtering), ticket-to-Asana routing with proper phase and project assignment, and recurring task scheduling that runs on a fixed schedule or based on deal properties. The team manages ongoing refinements: handling edge cases in document generation, preventing duplicate Asana task creation, optimizing the Make.com scenario architecture, and addressing breaks when field validation fails.

Weekly support cycles monitor automation health and handle exceptions that require manual intervention or logic adjustments.
