What was built

PraxisMachen's CRM implementation built a sophisticated multi-integration platform connecting Pipedrive to email marketing (Brevo), form intake (Perspective), and invoicing (EasyBill). The system enables German coaching practices to capture leads through web forms, track engagement via email opens and clicks, and automatically generate invoices when deals are approved.

The Pipedrive configuration includes comprehensive field setup, custom deal stages tailored to the sales process, activity logging for all interactions, and fine-grained team permissions across multiple practices. Brevo integration automatically creates activities in Pipedrive when contacts open emails or click links, providing real-time engagement visibility. Perspective forms feed directly into Pipedrive as contacts and organizations with full data mapping.

The EasyBill invoicing automation creates invoices at deal approval with grouping by billing fields for accurate financial tracking. All automation runs through Make.com scenarios with break system implementation for monitoring, error handling, and graceful failure recovery. System architecture documentation includes comprehensive diagrams, Miro boards for workflow visualization, and Google Sheets mapping references.

Ongoing support during 2025-2026 covers monthly automation maintenance, scenario debugging when Brevo email tracking breaks, API updates as Pipedrive endpoints change, and new feature rollouts for additional practices. The system has scaled across multiple Mission Niederlassung locations with consistent automation and training.
