What was built

The Ghan Importer is a dedicated integration system that syncs booking data from The Ghan train operator's system into Railwayhero's Pipedrive CRM. This custom solution enables automatic deal creation and updates based on actual bookings, eliminating manual data entry and ensuring pipeline accuracy.

The importer uses webhooks to receive booking submissions from The Ghan's form system. A Make.com scenario processes the incoming data, maps fields to Pipedrive deal properties, and creates or updates deals based on existing records. The system includes data validation, field mapping corrections, and error handling to ensure data quality.

Testing was comprehensive, including scenario logic validation, mapping verification against expected field structures, and production activation monitoring. The integration was later extended to support Rovos Rail (another premium train operator) with updated mappings and field configurations. Live production monitoring via the break system ensures any import failures are captured and addressed quickly.

The Ghan Importer sits alongside the primary Pipedrive Onboarding project as a specialized module, handling automated booking data ingestion while the broader onboarding system manages CRM configuration, lead capture via FunnelForms, and Zapier legacy process support.
