Where we migrate from
Pipedrive data migration — every major source platform
Every source system has different quirks — field types that don't translate, data structures that need rethinking, export limitations to work around. We know them all.
The most common migration we handle. HubSpot's data model differs significantly from Pipedrive — we remap contacts, companies, deals, activities, notes and email history cleanly. Deal association logic and custom properties require careful field mapping.
Salesforce's Leads → Contacts/Accounts model needs conversion to Pipedrive's People/Organisations structure. Custom objects, opportunity stages and complex field types require case-by-case mapping decisions.
Zoho's Leads and Contacts are separate objects that need consolidating. We handle the merge logic, map custom modules where possible, and preserve deal history and activity records.
The simplest in theory, messiest in practice. We clean your spreadsheet data — inconsistent formats, missing fields, duplicates — before import, then validate every record in Pipedrive after. Often the most valuable migration we do.
We export via API or CSV depending on Freshsales version, map deals, contacts and accounts to Pipedrive's structure and preserve activity history and deal stage mapping.
If it can export to CSV or has an API, we can migrate it. We've handled niche industry CRMs, custom-built databases and proprietary systems. Scope depends on export capability and data quality.

Source data audit

Data cleaning & field mapping
Pre-importWe clean the source data — normalising formats, deduplicating contacts and organisations, fixing broken associations — and create a complete field mapping document that shows exactly how every source field maps to a Pipedrive field. You approve before import.
Test migration
Validation stageWe run a test import on a sample of your data — contacts, organisations, deals — to validate field mapping, check associations and confirm that records look correct in Pipedrive. Issues caught here, not after full import.
Full import & QA

FAQ — Pipedrive CRM migration & data import
Will we lose any data during the migration?
No data is deleted from your source system during migration — we always work from an export or API copy. If something looks wrong in Pipedrive after import, we can re-run the migration from the source. The test migration step is specifically designed to catch issues before the full import.
Can we keep using the old CRM while migration is in progress?
Yes. We do a final data export on migration day to capture any records added after the initial export. For most teams we plan a clean cutover date — one day where the old system is exported, migration is completed and Pipedrive becomes the source of truth.
How long does a migration take?
Simple spreadsheet migrations can be done in 1–2 weeks. HubSpot and Zoho migrations typically take 2–4 weeks including data cleaning and Pipedrive setup. Salesforce migrations with custom objects are usually 4–6 weeks. Timeline is confirmed after the source data audit.
Is migration included in a Pipedrive implementation project?
Spreadsheet imports and basic data migration are included in standard implementation projects. More complex migrations — from HubSpot, Salesforce or systems with custom objects — are scoped and priced separately based on data volume and complexity.
What happens to email history from our old CRM?
Email history migration depends on the source system. HubSpot email history migrates well. Salesforce email history is partial. For most migrations, historical emails are added as notes to the relevant contact or deal record rather than as live email threads. We clarify exactly what's possible during the audit phase.
